Made for music schools

More enrolments. Less admin. More time for music.

A website that wins you new students and that you update yourself. Plus automation that brings order to your day, from the trial lesson to enrolment. Built by someone who knows music school life from the inside.

I · Everyday reality

You teach because you love it. The paperwork eats up the rest.

Most music schools lose half their energy not to teaching but to the organisation around it. Does any of this sound familiar?

  • The inbox is overflowing

Always the same questions: How much are piano lessons? Are there any places left? When is the trial lesson? You answer every enquiry by hand.

  • Trial lessons by email ping-pong

Three messages back and forth just to find a time. And in the end, someone still doesn’t turn up.

  • The waiting list lives in Excel

Who’s waiting for which teacher, which instrument, and since when? A spreadsheet nobody but you understands any more.

  • Enrolments on paper

Print it, get it signed, type it up again, file it away. The same data passes through your hands three times.

  • Communication everywhere and nowhere

WhatsApp, email, notes on the noticeboard, a phone call in between. Nothing in one place.

  • A website nobody can update

New teacher, new course, new prices, and once again you need the agency or that tech-savvy nephew.

II · The approach

Two levers that take real weight off your school

We don’t tackle ten things at once. We focus on the two that make the biggest difference.

  • A website that sells and that you update yourself

Your school deserves a presence that wins over parents and adult learners and shows what you can do. A website that brings in new enrolments instead of just existing. And one you keep up to date yourself, with no technical know-how and no need to call someone in every time.

  • Automation that lightens the daily load

The tasks that come round again and again will largely take care of themselves: booking trial lessons, taking enrolments, sending appointment reminders. Less manual work, less friction, more time for what you’re really there for.

III · The website

Your whole school, clearly presented and easy to change at any time

Not just a pretty home page, but a well-thought-out system for everything that makes a music school what it is.

  • Teacher profiles

Every teacher with a photo, instrument and short bio. Parents see straight away who will be teaching their child.

  • Instruments and subjects

Everything you offer at a glance, from piano to drums, from singing to music theory.

  • Courses

Individual lessons, groups, early childhood music, ensembles: clearly presented and easy to find.

  • Events and dates

Student recitals, concerts, open days. Always up to date, because you add them yourself.

  • Locations

More than one venue? Each with its own address, map and contact person, made for growing schools.

  • School news

News, achievements, announcements. Published in minutes, without any HTML.

  • Edit everything yourself (portal)

With a simple portal, you change any content yourself, in your own words, without a developer.

  • Local SEO built in

Anyone in your town searching for “piano lessons” or “music school” should find you. The foundation for that is in place from day one.

IV · The automation

The tasks that cost you time will run themselves

No new software to learn. The automation sits right inside your website and takes the repetitive manual work off your plate.

  1. Open music book in warm stage light

Trial lesson funnel with online booking

Prospective students pick a free slot and sign up themselves. No more email ping-pong, no more chasing appointments.

  2. Piano keyboard in warm raking light against a dark background

    Online enrolment

A digital form replaces the paper one. The data reaches you complete and well organised, with nothing to type up.

  3. The scroll and pegbox of a violin, caught from the side by warm light

    Automatic reminders

Before every appointment, a reminder goes out automatically by email. Fewer forgotten appointments, fewer cancellations.

  4. Classical guitar showing the sound hole, fingerboard and strings

Connection to your music school software

    Premium

Enrolment and contact details flow straight into your existing management system instead of being entered twice.

V · The difference

Same school, far less friction

No magic tricks and no made-up jumps in revenue. Just the honest difference in your day-to-day work.

  • Answering every enquiry individually
The website answers the standard questions
  • Arranging a trial lesson in three emails
Prospective students book the slot themselves
  • Wrestling with the waiting list in Excel
Enrolments arrive digitally and in order
  • Printing out enrolment forms and typing them up
    Reminders go out automatically
  • Asking the agency for every change
You update content yourself in minutes
  • Evenings lost to admin
More time for teaching, students and music

The bottom line: less paper, fewer follow-up questions, fewer lost evenings.

Website of the Academy of Music Leipzig, looked after by Apollo

VII · Why me

I come from music myself

I’m Philipp, a classical guitarist and the owner of Apollo Webdesign. Before I built websites, I taught: as a music teacher and as a freelance teacher at a music school. I know the packed timetable, the student recitals, the pupils who come and go, and all the admin still waiting at the end of the day.

Today I’m on the other side. My daughter is learning the violin, and I now experience music school life as a father: looking for the right teacher, asking about free places, the enrolment form nobody can fill in online.

That’s exactly why I’ve chosen this niche. Not because music schools are a random market, but because I understand them from the inside. I know what makes a school tick, where the time gets lost and what parents are really looking for on a website. You simply won’t get that knowledge from an agency that does dentists today and car dealerships tomorrow.

VIII · Pricing

A price that used to run to five figures

Systems like this used to cost many times as much and were reserved for large schools. AI-assisted development makes them affordable today, without compromising on quality, design or support. The premium is in the work, not the price tag.

  • Premium for larger music schools

    from €1,990, priced individually

Everything in the main package, plus:

    • Direct connection to your music school software
    • Waiting list automation

We’ll discuss the exact set-up and price with you personally, to suit the size of your school.

IX · Frequently asked questions

What music schools ask most often

Does my website have to be completely rebuilt?

Usually yes, and that’s a good thing. For the portal, automation and the structure for teachers, courses and dates to fit together cleanly, we build on a modern foundation. We carry over your existing content, text and images, so nothing gets lost.

Which music school software do you support?

We work with common systems that have open interfaces, including beyond software, My Music Staff, MusicDesk and SpeedAdmin. Using something else? Let us know and we’ll check the connection in our call. The integration is part of the Premium package.

How do you handle data protection and the GDPR?

Your website and all forms are set up to be GDPR-compliant. Hosting in Germany, encrypted transmission and careful handling of registration data. This matters to us especially when children are being enrolled, and we set everything up accordingly.

What does working with you look like?

It starts with the free potential analysis: a conversation where we get to know your school, your processes and your goals. Then we build the website, set up the portal and automation and, if you like, connect your software. Finally, we show you how to look after everything yourself. You’re never left to fend for yourself.

Roughly how much does it cost?

The main package is €1,490 one-off plus €39 per month (excl. VAT) and includes the website and automation. For larger schools with a software integration and waiting list automation, Premium starts at €1,990, and we agree the exact price with you personally.

Why a minimum term of 24 months?

The €39 a month covers hosting, domain, security, updates and the ongoing running of your automation. To offer you this much set-up work at such a low starting price, we agree a minimum term of 24 months. After that, you can cancel monthly. Fairly calculated, with no hidden tiered pricing.

Can I really update the content myself?

Yes, and without any technical knowledge. In your portal you update teachers, courses, dates or news in plain language, as easily as writing an email. And if you’d like, the agency is still just a message away.

Which music schools is this a good fit for?

Above all, private and independent music schools, as well as growing schools with several locations. If you teach yourself or run a small, owner-managed school and the admin is slowing you down, you’re in exactly the right place.
